European Surgical Association (ESA)
Challenge / Background
The ESA is a prestigious European surgical‑science organisation representing leading surgeons and researchers.
Their annual scientific meeting demands high standards: abstract submission, registration, membership integration, large delegate logistics.
They sought a partner to take on full association management, ongoing congress organisation, website development, and delegate services.
Our Role / Solution
We assumed full association‑management responsibilities including secretariat tasks, database & membership services, governance support.
For their main Annual Meeting: we developed and managed the bespoke event website, handled abstract‑submission workflow, online registration/payment, on‑site logistics and delegate support.
We provided scalable infrastructure so that whether the meeting grew or requirements shifted (hybrid/virtual components) the system remained robust.
We maintained continuous relationship management, reporting, post‑event analytics and recommendations for next‑year improvements.

Belgian Association for the Study of Obesity (BASO)
Challenge / Background
BASO is the principal obesity‑focused professional body in Belgium.
They needed support for both ongoing association management and meeting management for two flagship events: Winter Symposium Obesity 2025, and BASO World Obesity Week Conference 2026 – “Re Thinking Obesity”. Both these events included registration and abstract submission components.
Our Role / Solution
We provided full association operations: membership & database administration, board/committee support, and event‑support logistics.
For the Winter Symposium 2025 and the World Obesity Week Conference 2026: we implemented event registration platforms, abstract‑submission workflows, and managed the end‑to‑end event logistics (venue, speakers, timeline, on‑site).
We ensured compliance and seamless delegate experience for both professional attendees and academic contributors.
Key Outcomes / Impact:
The registration and abstract‑submission processes were streamlined and branded consistently with BASO’s identity, giving delegates a professional experience.
